Tasks holds the follow-up work that comes out of conversations. You can create tasks yourself, and your AI agent creates them too, for example when it escalates a conversation or needs an approval.
Time: about 5 minutes
Before you start
- Tasks shows in the main menu for every role. Viewers can look but can't change anything.
- Owners, Admins and Supervisors can create tasks and move them forward. Agents can reassign tasks but can't create or start them.
- If you see "Tasks aren't available on this workspace's plan.", your workspace's plan doesn't include Tasks.
See your tasks
Click Tasks in the main menu. The top of the page shows five numbers: Open tasks, Overdue, Awaiting approval, AI agent created and Human agent created.
Use the controls under the numbers to find tasks:
- Search tasks... searches by title.
- All tasks and Approvals switch between every task and tasks waiting for an approval. The number next to Approvals is how many are waiting.
- Created by: All, AI Agent or Human Agent.
- Type, Priority and Assignee narrow the list further.
- Board, List and Calendar change how tasks are shown.
If nothing matches you'll see "No tasks found". Click Clear filters to start again.
On the board, tasks sit in columns. A new workspace starts with To do, In progress, Pending approval, Pending info and Done. Owners, Admins and Supervisors can change the columns (see Change your board stages and types).
Create a task
- Click Tasks in the main menu, then New task.
- Under Source, choose Manual, or From conversation and pick the conversation. Mevrik fills in the customer and description from it. You can still edit them.
- Choose a Type.
- Enter a Title (up to 500 characters) and a Description.
- Choose a Priority: P0 Critical, P1 High, P2 Medium or P3 Low.
- Choose an Assignee, a Due date and a Linked customer if you want to.
- Click Create task.
If you don't choose a due date, the button shows "In 4 hours (default)" and that's what is used.
If you leave the title empty you'll see "Title is required".
Some task types have an approval chain set up. A task of that type is sent to the approval stage automatically when you create it.
You can also create a task from inside a conversation. Open the Tasks tab in the context panel and click New task linked to this conversation. See Use the Conversations inbox.
Work on a task
Click a task to open it. At the top you'll find:
- Reassign: choose a different person. You'll see "Task reassigned", or "Task unassigned" if you remove the assignee.
- Start task: shown on a task in To do. It moves the task to In progress.
- Mark done: shown on a task that is In progress.
The tabs are Overview, Approvals (only on tasks waiting for approval), Subtasks, Linked tasks, Comments and Activity.
To rename a task, click the pencil next to its title (Rename task). You'll see "Title updated".
Change your board stages and types
Owners, Admins and Supervisors see a Task settings button next to the view switch. It opens Manage tasks configuration with three tabs:
- Board stages: add a stage with New stage name or archive one. System stages can't be archived.
- Task types: add a type with New type name or archive one. System types can't be archived.
- Approval templates: set up approval steps for a task type, with conditions and steps. Tasks of a type without a template are created without an approval step.
Troubleshooting
"Couldn't load tasks" This is usually temporary. Click Try again.
"Failed to update task status" The move didn't go through. Try again.
"That move isn't allowed from the task's current state." The task can't move to that stage from where it is.
"This task changed since you loaded it. Reload and try again." Someone else changed the task. Reload the page and try again.
"That person isn't a member of this workspace." Choose a teammate from the list.
New task, Start task or Reassign is greyed out Your role can't do that. See the roles at the top of this article.
