On this page

Everyone in your workspace has one of five roles. The role decides which pages they can open and what they can change. You manage people in Settings → Team & access.

To invite someone for the first time, see Invite your team. This article covers roles and day-to-day team management.

Before you start

  • Only an Owner or Admin can invite people, change roles, resend or revoke invitations, and remove members.
  • Other roles that can open Team & access (Supervisor and Viewer) can see the list but not change it. The Agent role doesn't see Team & access at all.

What each role can do

The console shows this same table under View role permissions on the Team & access page.

Which pages each role can open

  • Owner and Admin: every page and every settings section.
  • Supervisor: every page, except Billing & plan. In Security & control, a Supervisor sees only their own password and two-factor sign-in. Supervisors can change some settings, such as business hours, canned responses, custom fields, CSAT Survey, Assignment & routing, notifications and Action approvals, but they can't change workspace settings, channels or billing.
  • Agent: Conversations, Tasks, Customers (view only) and AI Insights, plus My profile. In Settings, an Agent sees only General (view only), Personalisation and Security & control (their own password and two-factor sign-in only).
  • Viewer: every page except Billing & plan, but read only. A Viewer can't make changes anywhere, so buttons that change things are turned off or show a reason.

Change someone's role

  1. Go to Settings → Team & access.
  2. Find the person. Use Search members… or Filter by role if the list is long.
  3. Click the ⋮ menu on their row (it's named "Manage" followed by their name).
  4. Choose a role: Admin, Supervisor, Agent or Viewer.

You'll see a message such as "Alex's role updated to agent." You can't change your own role. Owner isn't a role you can assign from this menu. Only the Owner can hand over ownership, from Settings → Security & control.

If the change fails, you'll see "Couldn't update role. Please try again."

Remove someone from your workspace

  1. Go to Settings → Team & access and click the ⋮ menu on the person's row.
  2. Click Remove from workspace.
  3. In the dialog "Remove this teammate?", click Remove.

The person loses access to the workspace immediately. Conversations and tasks they handled are kept, and you can invite them again later. You'll see a message such as "Alex removed from workspace." You can't remove yourself.

Resend or revoke an invitation

People you've invited but who haven't joined yet appear under Pending invitations. Each row shows their email, the role you chose, and when the invitation ends, for example "Expires in 3 days" or "Expires today".

  • Click Resend to send the email again and extend the expiry. You'll see "Invitation resent to" and the email address.
  • Click Revoke to cancel the invitation. The link stops working.
  • If an invitation has run out, the row says "Expired — resend to issue a fresh link".

Invite links expire after 7 days.

Troubleshooting

The "Invite member" button is greyed out. Only an Owner or Admin can invite people. The panel says "You don't have permission to invite members."

"Couldn't load members." Refresh the page. If it keeps happening, try again in a few minutes.

"Couldn't remove member. Please try again." The removal failed. Try once more.

"Couldn't resend the invitation." or "Couldn't revoke invitation." Try again. If it keeps failing, refresh the page and try again in a few minutes.
